POLICY AND COMMUNITY ENGAGEMENT COMMITTEE

August 23, 2011

The Policy and Community Engagement Committee of the Board of Education of the School District of Jefferson met on Tuesday, August 23, 2011 in the District Office conference room.  Chairperson Hollenberger called the meeting to order at 8:05 a.m. with Committee members Volk and Pupanek present.

Review of Board Policy KG, Community Use of School Facilities:  Committee members reviewed the current community use policy with discussion centered on who is using the facilities, what they are being used for, who is being charged, who is charging a fee and what happens with that money, and when custodial supervision is required.  Additional discussion focused on the need for consistency in policy administration, how events may be handled versus practices as far as supervision, and access to the buildings.

Committee members requested a list for the past year of who has used the facilities and for what.  The master calendar for athletics will also be incorporated into the follow up discussion.  Of particular concern is the use over the weekends when custodial staff is not on regular duty.  It is hoped that the new keying system at the High School will alleviate many of the building access problems.

Committee members will also be reviewing the fee schedule and requested a review of the insurance requirements by the district’s insurance carrier.

A motion to adjourn was made by Mrs. Pupanek, seconded by Dr. Volk. The motion passed on a voice vote.
